Who receives a Payday FYI?
The Payday FYI process provides a communication link to all state employees. The process is primarily electronic, but, in some cases, does require a limited number of paper inserts in order to reach state employees who do not have access to e-mail.
What do I need to do to have an FYI distributed?
- The Payday FYI program can be used for official state business only. An FYI must have a state government sponsor (agency, commission, board, etc.).
- Payday FYIs must be approved by the Department of Personnel (DOP) before they can be distributed. To ensure that you understand the requirements and deadlines, be sure to review all six items on this page before submitting a Payday FYI Request form. You'll find a link to the Request form following item 5.
- You must create two files for electronic distribution:
- A text version that is in either MS Word or HTML with no graphics — required for accessibility
- A PDF version that is suitable for printing on a desktop printer — letter size, graphics and color are acceptable.

- For announcements to reach all employees, you must print the inserts required for stuffing in payroll envelopes of employees who do not have access to email and deliver them directly to the agency contact. This is a requirement for any announcements that include critical personnel, payroll, or benefit related information. See size and packing specifications.
- Electronic only distribution is an option for some types of announcements, when it's not critical that the information reach all state employees. The sponsoring agency assumes responsibility for deciding not to provide printed copies, with the full realization that the information will not reach all employees.
- The Request form, must be submitted a minimum of 30 days prior to the payday that you would like to send the FYI. Within one work week, DOP Communications will send you an e-mail concerning the status of your request. Go to Request Form

- The finished size must be cut or folded to fit into a standard
#10 envelope
- A pamphlet, card, or tri-folded memo is acceptable.
- Slip sheet or rubber band every 100 for easier distribution
